Data Protection Privacy Notice (“Notice”) relating to Your Key Opinion Leaders Contribution

Personal Data - Introduction

This Notice describes our policies and practices about the Personal Data collected about you in connection with your contribution to our conferences, webinars or other similar events in your role as a key opinion leader (“KOL Contribution”). It explains what types of information we collect and how that information is used.

We are committed to taking all reasonable steps to ensure that all Personal Data held by us is kept secure, processed in a fair and lawful manner, and managed in accordance with all applicable data privacy laws.  Please review this Notice carefully.

In this Notice, “Personal Data” refers to information or pieces of information that could identify you, and could include, for example, your name, image, voice, date of birth, email and/or mailing address; and “we” or “us” includes Dechra Limited, Dechra Pharmaceuticals Limited, and any other subsidiary or affiliate companies of Dechra Pharmaceuticals Limited (the “Dechra Group”).

For the purposes of applicable data protection laws, the data controller will be the entity within the Dechra Group that you or your employer engage with in connection with your KOL Contribution. In this Notice, references to “Dechra” will mean the data controller for your Personal Data.

What Personal Data will be collected in relation to your KOL Contribution?

By providing your KOL Contribution, we will collect Personal Data about you such as your name, business contact details, employment details (i.e., details of your employer (if applicable) and your job role) and, depending on the nature of your KOL Contribution (for example if you participate in a webinar) your image and a recording of your KOL Contribution. 

We will only collect, use, and share your Personal Data where we are satisfied that we have an appropriate legal basis to do this. This may be because:

our use of your Personal Data is necessary to comply with a relevant legal or regulatory obligation that we have, for example in relation to our interaction with relevant regulatory authorities;
our use of your Personal Data is necessary for the performance of a contract to which we are each party (this will be applicable where we contract with you directly in relation to your KOL Contribution); and/or
our use of your Personal Data is in our legitimate interest as a commercial organisation (for example in managing our relationship with you and/or your employer, and providing you with relevant information  in relation to your KOL Contribution) - in these cases we will look after your information at all times in a way that is proportionate and respects your privacy rights and you have a right to object to processing as explained in the "What rights do I have in relation to my Personal Data?" section below.

What will it be used for?

We will use your Personal Data to facilitate the delivery of your services to Dechra in your role as a key opinion leader and maintain records relating to your KOL Contribution. This means that we will use your Personal Data:

to view, record, publicise and otherwise make use of your KOL Contribution in a manner that is consistent with your or your employer’s engagement with Dechra; and
respond to requests from relevant regulatory authorities.

We will ask for, collect and use data that is adequate, relevant and not excessive for those purposes.

Will the Personal Data be transferred to any third parties?

We will only transfer your Personal Data outside the Dechra Group on a strictly limited "need to know" basis where there is a legitimate business need or there is an overarching legal justification to do so.  If a particular disclosure is required to meet a legal obligation or in connection with legal proceedings, we may provide your Personal Data so long as the disclosure is limited to that which is legally required.

To protect your data, we will enter into appropriate contractual arrangements to ensure that your data is kept secure and only used for legitimate, authorised purposes. We do not sell or share your Personal Data with other, unrelated third parties, except as set out in this Notice.  We may share Personal Data with third parties:

to properly and efficiently receive the benefit of and make use of your KOL Contribution.  These companies are not authorised by Dechra to use the Personal Data we share with them for any other purposes than those set forth in this Notice and/or the agreement you or your employer have signed;
in response to requests from relevant regulatory authorities;
if any relevant member of the Dechra Group is selling a company or business, when your Personal Data may be disclosed and may be among the business assets transferred as part of the transaction;
to comply with a legal requirement, for the administration of justice, to respond to a valid legal process from the government or public authorities in any country in which we operate, to interact with anti-fraud databases, to protect your vital interests, to protect the legal rights, privacy or safety of the Dechra Group or our employees, agents and contractors, to protect the security or integrity of our databases and/or to take precautions against legal liability.

Will the Personal Data be transferred to a location outside of the United Kingdom / European Economic Area?

 

The Personal Data we collect in relation to your KOL Contribution may be accessed, transferred to and stored by external service providers and/or members of the Dechra Group established outside of the United Kingdom or European Economic Area (“EEA”), in each case for the purposes described in this Notice. It may also be processed by personnel operating outside the UK/ EEA who work for us, our distributors, or our external service providers. Countries outside the EEA or UK may not offer the same level of protection.  To protect your data we will endeavour to enter into appropriate contractual arrangements with any third parties and/or Dechra Group companies with whom we share data outside the EEA and UK. Should you require further information about how we ensure the protection of your data in these circumstances, we may, upon receipt of a request from you, provide a copy of the details of the safeguards securing the transfer at our discretion.

Transfer of such data outside of the EEA or UK will be for the same purposes as are described in this Notice.

The following protection measures are followed to ensure an adequate level of protection:

intra-group data transfer agreements have been put in place (this applies to any sharing of your Personal Data with Dechra Group companies anywhere in the world);
we have entered into the Standard Contractual Clauses adopted by the European Commission with third party suppliers, where appropriate; or
transfers may take place to countries outside of the EEA or UK but which have been recognised as providing equivalent protection to your Personal Data.

How long will Personal Data be retained?

We will retain your Personal Data for an extended period, for so long as it is used by or on behalf of the Dechra Group in connection with your KOL Contribution.
